Code of Conduct & Policies

  1. Everyone must comply with all Federal, State, and Local laws, ordinances, and regulations at all times. Laws include, but are not limited to the following:
    1. No disorderly conduct such as loitering, public intoxication, indecent exposure, begging, or soliciting.
    2. No selling weapons or serving alcohol to minors.
    3. No smoking inside any public buildings; this includes e-cigarettes and vaporizers. No smoking within 25 feet of any entrances.
    4. Rappig Crossing reserves the right to deny entry to the convention for those with past convictions that could cause a threat to the convention or attendees.
  2. Please be respectful and courteous to everyone around you. This includes guests, staff, hotel personnel, and your fellow attendees.
    1. Cosplay is not consent.
    2. Harassment is defined as any behavior that threatens a person or group or creates an unsafe or non inclusive environment, online or offline. Harassment based on race, color, religion, sex (including pregnancy, sexual orientation, or gender identity), national origin, disability, age, or genetics will not be tolerated. Encouraging or instigating any of the above behaviors is also considered harassment. It is also important to remind attendees that this policy includes respecting all con volunteers and staff, along with the authority that they possess.
    3. Sexual harassment is not tolerated online or offline. According to the U.S. Government, sexual harassment is defined as “unwelcome sexual advances, requests for sexual favors, and other verbal or physical harassment of a sexual nature.” Prohibited behaviors include, but are not limited to, unwanted physical contact (including hugs and “glomps”), verbal harassment (including jokes referring to sexual acts or sexual orientation), posting compromising pictures of attendees, unwanted sexual photos, emails, or text messages. No means no. If you are asked to stop a behavior by a fellow attendee or staff member, do so immediately.
    4. Do not harass, threaten, bully, stalk, or mob people. Please do not hug or “glomp” without permission. Do not take pictures of anyone, regardless of whether they are in costume or not, without first asking for permission. Respect other people’s personal space and identities.
    5. If you feel that a guest is being disruptive or disrespectful (i.e. yelling, talking over a volunteer or staff member, etc.), we ask that you quietly and respectfully bring it to the attention of someone directly associated with the convention (a volunteer or staff member) who can look into the matter further and make an appropriate judgment call. If it is determined that the disruption was a misunderstanding, then no action will be taken. However, if the plaintiff has complained about a behavior that is related to an attendee’s race, sexuality, disability, or any other forms of harassment (and continues this behavior even after the misunderstanding is resolved), the staff have the responsibility and authority to protect the other attendees from further harassment. 
    6. Be mindful of your surroundings. Do not obstruct walkways and entryways and be aware of your props.
  3. Please respect the facilities.
    1. All aisles, exits, fire safety devices, and concession stands must be kept clean, clear, visible, and unobstructed at all times.
    2. No outside food or drink may be sold or distributed on the premises without prior permission, licenses, permits, and insurance.
    3. No pets or ESAs are allowed in the convention space. Service dogs are allowed, and we follow the ADA Guidelines for what constitutes a service dog. A service dog must be trained to aid someone with a disability.
    4. Shoes must be worn at all times.
  4. Badges:
    1. Rappig Crossing badges are the property of Rappig Crossing and are a physical representation of the purchased registration. The badges cannot be tampered with or modified.
    2. Badges must be worn in plain sight while within Rappig Crossing’s premises.
    3. Badges may be revoked at any time by Rappig Crossing staff and qualified Security personnel.
    4. Badges cannot be transferred to other attendees. Badge refunds will not be offered if a badge is revoked due to breaking policies. For other badge refunds or rollover requests, please view our refund policy.
    5. Sponsor badges are for individual attendees only, not business entities. The name on your badge and the name provided for the back of our con shirts must be directly representative of you (such as your name, nickname, or cosplay handle). We have the right to deny any name being suggested.
  5. Warnings, Strikes, and Bans:
    1. Warnings may be given to attendees for small issues (i.e. being asked to not do something that’s disruptive). These typically are just warnings, and won’t result in a strike unless there is repeated behavior.
    2. Strikes may be given to attendees for Code of Conduct breaks. We have a 3 strike system for banning from the convention.
    3. Bans may be given for those who have repeated Code of Conduct breaks (3 strikes), or have a serious infraction (i.e. breaking laws, harassment reported by multiple attendees). Badges from banned attendees will not be refunded, and they will be barred from the convention in the future.
    4. We do not take bans lightly, and all staff must be in agreement to issue a ban.

Cosplay & Prop Policy

  1. No real weapons, firearms, or weapons made out of metal. If you are unsure about your props please bring them to staff to have them checked. Any fake guns must be either orange tipped, peace bonded, or unquestionably fake.
  2. All cosplays worn by attendees must cover appropriate areas of the body. If it isn’t okay in general public, then it isn’t okay at Rappig Crossing. Using pieces to cover up that appear as nudity (i.e. muscle suit) are allowed.
  3. If you have oversized props please be aware of your surroundings so as to not inconvenience others or cause any harm to others or property. If the staff deem that a prop is too large then you will be kindly asked to put your prop back into your room or vehicle and not bring it back into the con space.
  4. Cosplay is for everyone. Rappig Crossing will not tolerate any harassment to anyone during the event. This includes but is not limited to: race, age, gender, gender identity, sexual orientation, religion, disability, body size, and cosplay skill level.
  5. Please respect cosplayers when asking for pictures. Cosplayers have the right to refuse pictures, videos, and any other unwanted contact to themselves and their property. This includes but is not limited to: hugging, “glomping”, placing hands on a person, touching, stalking, inappropriate or unwanted attention.
  6. All body paint or makeup should be sealed properly so as to not rub off onto others or any property.
  7. Shoes must be worn in all public places of the event area and hotel.
  8. Putting down or judging cosplayers for altering a character design will not be tolerated. Cosplayers are allowed to alter things to make them feel more comfortable while at the con. This includes but is not limited to things like: lengthening hems, wearing pants instead of skirts, extra coverage, gender bending, flats instead of heels, wig length, etc.

Identification & Age Policy

Purpose:

The following is Rappig Crossing’s policy for identification of attendees and verification of age. Formal identification is needed for several important reasons:

  1. To ensure that the correct individual is able to claim their pre-registered badge. Only the individual whose name was given for pre-registration may claim that pre-registered badge. Friends/family are not able to claim a badge on your behalf. The exception to this rule is for attendees under the age of 16. Parents/legal guardians may pick up badges for the child they are responsible for.
  2. To identify an attendee in the case of an emergency.
  3. To verify the age of the individual (see details in the age restrictions below).

Acceptable Forms of Identification:

When claiming your pre-registered badge or registering at the door, a valid ID containing your birth date and legal name is needed. The following are acceptable forms of ID:

  • A state photo ID
  • A driver’s license
  • A passport
  • A federal photo ID
  • A military ID

The name on your ID must match the name provided during pre-registration/at the door registration. This is necessary to protect you from theft of badges and to ensure your information is available in the case of an emergency.

You may write any name you like on your physical badge once you have collected it.

Rappig Crossing will never share your personal information with anyone else.

Age Restrictions:

Rappig Crossing is a family friendly event that we hope all ages can enjoy, but there are some rules in order to keep everyone, especially children, safe.

Please do not leave your child unattended during the event. While Rappig Crossing is a small event we want to make sure everyone is safe and are not responsible for looking after children. In the case that an unattended child is found without ID or a way to contact their parent/legal guardian, authorities may be contacted.

Some events will be age-restricted and themed for an adult audience. Attendees under the age of 18 will not be permitted in these events (see details below).

  • Ages 0-12
    • Must have a child badge (free).
    • Must have a parent/legal guardian registered with the convention with direct line of sight supervision at all times.
    • Will not be permitted in age-restricted events, even with direct supervision. Age-restricted events are controlled because they contain adult themes.
  • Ages 13-17
    • Are required to purchase a badge.
    • Must have a parent/legal guardian registered with the convention on site at all times.
    • Are not required to be in the same room as parents/legal guardians.
    • Parental consent form is needed when picking up badges. This form will be available at the registration table and is needed for the safety of underage attendees.
    • Will not be permitted in age-restricted events, even with direct supervision. Age-restricted events are controlled because they contain adult themes.
  • Ages 18+
    • Are required to purchase a badge.
    • Can attend age restricted events.
    • Acceptable form of ID is needed to prove birth date in order to access age-restricted events. IDs will be checked at the door for all age-restricted events.

Refund Policy

Refunds of pre-con purchases (such as badges, special event tickets, and artist tables) are only possible within 30 days of original purchase. These items have the option of being rolled over to the next year (max one rollover) as an alternative to a refund. Refunds will not be offered within 30 days of the convention. Rollovers will not be offered within 2 weeks of the convention.

At-con purchases from Rappig Crossing (such as badges, merchandise, or other items) cannot be refunded. Purchases made from other attendees (such as in the artist alley) will follow that seller’s policies and are not under Rappig Crossing jurisdiction.

These refund policies may be adjusted on a case-by-case basis. If you have extenuating circumstances and need a refund, please contact us as soon as possible.

Accessibility Policy

Rappig Crossing strives to ensure that it is accessible to people with disabilities. Rappig Crossing has tried to help ensure that its website and convention are made easier to use and more accessible for people with disabilities, with the strong belief that every person has the right to live with dignity, equality, comfort and independence.

Rappig Crossing continues its efforts to constantly improve the accessibility of its website and convention services in the belief that it is our collective moral obligation to allow seamless, accessible and unhindered use also for those of us with disabilities.

Privacy Policy

In order to get you your badges or other con-related items, we need to collect information about you such as your name, email, phone number, and address. We promise to never sell or publish this information, and will not use this information for anything other than your purchases or if needed in the case of an emergency. We never have the ability to see full credit card numbers or other payment information.

We use a private analytics tracking platform for our website. It does not track any identifiable personal information, and no tracking information is shared with 3rd party platforms.
